Job Description: 

Job Summary

  • Administration and coordination the staff daily operations
  • Support and assist Supervisors and Facilities Managers to implement all company policies and department’s main objectives and achievements.
  • General Administrative works and department authorize receiver in general.
  • Company Asset Handler coordinates and liase with all departments on all points.
  • Efficient administration of tasks related to FM services in general scope under all related Facilities/ Properties (internal and external) Capital Assets and Project expense handler.
  • To manage the CAFM system operations, material requisitions and follow up.

Key Accountabilities

  • Prepare all the necessary Reports, Attendance, Overtime record, Payment Vouchers etc.
  • Record Vehicles gas account, repairs & maintenance, and update the logbook for each vehicle.
  • Raise all monthly Invoices for the customers for jobs done during the month.
  • Coordinate & Keep a record of the PMD stores. of the incoming materials and issues on the job card.
  • Handle purchases for the Dept. and obtain three quotations from suppliers / contractors from the market (during the absence of the Local Purchaser)
  • Assist in preparation of the accommodation for the new occupants, inventory etc. at the company compound.
  • Update the status of the company accommodation (Zahid Compound) in the system.
  • Keep a record of the Preventive Maintenance of the company equipment and appliances and update it.
  • Keep the record of the Capital expenditures for the year.
  • Any other assignments given by the Property Maintenance Manager.

Knowledge, Skills and Aptitude

  • Educational Qualifications and Certifications: Diploma / University Degree in Facilities Management, Business Administration, Engineering, or a related field
  • Knowledge: In-depth knowledge and experience in Facilities control & Administration
  • Technical Skills: PC literacy with strong competency in all Microsoft Office Suite (Word, Excel, PowerPoint)
  • Language Skills: Arabic is desirable. English is essential
  • Experience: Minimum of 3 - 5 years’ experience in a similar position
