Job Summary
The Executive Assistant provides high-level administrative support to senior leadership, ensuring smooth day-to-day operations, efficient communication, and strategic coordination. This role requires exceptional organizational skills, attention to detail, confidentiality, and the ability to anticipate needs in a fast‑paced environment.
Key Accountabilities
- Manage complex calendars, schedule meetings, and coordinate appointments.
- Organize domestic and international travel, including flights, accommodations, and itineraries.
- Prepare briefing materials, agendas, and follow-up notes for meetings.
- Draft, review, and manage correspondence, reports, and presentations.
- Handle confidential information with discretion and professionalism.
- Coordinate executive-level meetings, board sessions, and events.
- Track deadlines, priorities, and key deliverables on behalf of the executive.
- Maintain organized filing systems, both physical and digital.
- Process expense reports, invoices, and procurement requests.
- Serve as a primary point of contact between the executive and internal/external stakeholders.
- Ensure timely, accurate communication across departments.
- Conduct research, compile data, and prepare summaries or reports.
- Monitor project timelines and ensure tasks are completed on schedule.
Knowledge, Skills and Aptitude
Educational Qualifications and Certifications: Bachelor’s degree in Business Administration or related field
- Knowledge:
- Knowledge of executive office operations and corporate protocols.
- Understanding of business communication standards and confidentiality requirements.
- Familiarity with financial institutions and corporate governance (preferred).
- Technical Skills:
- Proficiency in Microsoft 365 (Outlook, Excel, Word, Teams, PowerPoint)
- Strong digital organization skills and document management proficiency.
- Ability to create professional presentations and reports.
- Skilled in scheduling tools, video conferencing platforms, and travel management systems.
- Language Skills:
Fluency in English in verbal and written communication skill is essential, aadditional languages are highly desirable and will be considered
- Experience:
8–10 years of experience supporting senior executives in financial institutions
