Job Summary

The Executive Assistant provides high-level administrative support to senior leadership, ensuring smooth day-to-day operations, efficient communication, and strategic coordination. This role requires exceptional organizational skills, attention to detail, confidentiality, and the ability to anticipate needs in a fastpaced environment.

Key Accountabilities

  • Manage complex calendars, schedule meetings, and coordinate appointments.
  • Organize domestic and international travel, including flights, accommodations, and itineraries.
  • Prepare briefing materials, agendas, and follow-up notes for meetings.
  • Draft, review, and manage correspondence, reports, and presentations.
  • Handle confidential information with discretion and professionalism.
  • Coordinate executive-level meetings, board sessions, and events.
  • Track deadlines, priorities, and key deliverables on behalf of the executive.
  • Maintain organized filing systems, both physical and digital.
  • Process expense reports, invoices, and procurement requests.
  • Serve as a primary point of contact between the executive and internal/external stakeholders.
  • Ensure timely, accurate communication across departments.
  • Conduct research, compile data, and prepare summaries or reports.
  • Monitor project timelines and ensure tasks are completed on schedule.

Knowledge, Skills and Aptitude

Educational Qualifications and Certifications: Bachelor’s degree in Business Administration or related field

  • Knowledge:
    • Knowledge of executive office operations and corporate protocols.
    • Understanding of business communication standards and confidentiality requirements.
    •  Familiarity with financial institutions and corporate governance (preferred).

  • Technical Skills:
    • Proficiency in Microsoft 365 (Outlook, Excel, Word, Teams, PowerPoint)
    • Strong digital organization skills and document management proficiency.
    • Ability to create professional presentations and reports.
    • Skilled in scheduling tools, video conferencing platforms, and travel management systems.
  • Language Skills:

                  Fluency in English in verbal and written communication skill is                    essential, aadditional languages are highly desirable and will                    be considered

  • Experience: 

    8–10 years of experience supporting senior executives in financial institutions
